AI receptionist
An AI receptionist is software that answers your business phone with a natural voice, 24/7. It greets callers, answers common questions, takes their details, books appointments and sends you a summary after each call. Unlike voicemail, the caller gets a real conversation, and unlike a phone menu, nobody has to press buttons.

AI answering service
An AI answering service covers the calls you can't take, using an AI voice instead of a room of operators. It answers every call, any hour, and can handle several calls at once. You get the caller's name, number and reason for calling, usually by email or text, so you can call back fast.

Live answering service
A live answering service is a team of people who answer your calls and take messages for you, often from a shared call center. It gives callers a human voice. When comparing services, check their hours, hold times, how they bill for calls, and how quickly messages reach you.

Virtual receptionist
A virtual receptionist is a remote person who answers calls for your business, often with extra tasks like scheduling or simple admin. They work from outside your office, usually by the hour or on a plan. An AI receptionist does the phone part with software instead, so coverage doesn't depend on someone's shift.

IVR (phone menu)
IVR, or interactive voice response, is the phone menu that says "press 1 for sales, press 2 for service." It routes callers using keypad presses or short voice commands. An IVR sends people to the right place, but it can't hold a conversation, so callers often still end up in voicemail.

Call forwarding
Call forwarding sends calls from your business number to another number, such as your cell, a teammate or an AI receptionist. You turn it on through your phone carrier, usually with a short dial code or an app setting. Your callers keep dialing the same number, and nothing changes on their end.

Conditional call forwarding
Conditional call forwarding sends a call on only in certain cases: when you don't answer, when your line is busy, or when your phone is off. It lets you keep answering your own calls and pass along only the ones you miss. Most US carriers support it through dial codes or account settings.

After-hours answering
After-hours answering means someone, or something, picks up your calls when your business is closed: nights, weekends and holidays. Callers who reach a real conversation instead of voicemail can book, ask questions or leave clear details. You can turn it on by forwarding your line only outside your business hours.

Overflow calls
Overflow calls are the calls that come in when you or your team are already busy, on another line or on a job. Without a backup, they ring out or go to voicemail. An overflow setup forwards those calls to an answering service or AI receptionist, so every caller still gets an answer.

Live call transfer
Live call transfer connects a caller to a real person during the call, instead of taking a message. With an AI receptionist, it usually happens when a caller asks for someone: the AI hands the call to you or a teammate at a number you choose. It keeps important callers from waiting for a callback.

Warm transfer vs cold transfer
A warm transfer introduces the caller to the person receiving the call, usually with a quick summary of who is calling and why. A cold transfer, also called a blind transfer, connects the call without any introduction. Warm transfers feel smoother to callers, while cold transfers are faster to set up.

Call flow
A call flow is the script your receptionist follows on every call: the greeting, the questions to ask, the services to mention and how to close. A good call flow collects the details you need to call back or book. With an AI receptionist, you edit the call flow instead of retraining a person.

Call summary
A call summary is a short written recap sent after a call. It lists who called, their callback number, what they need and any next step, such as a booked appointment. Summaries arrive by email or text, so you can scan calls in seconds instead of listening to voicemails one by one.

Call transcript
A call transcript is the full written text of a phone conversation, line by line. It lets you see exactly what the caller said and how your receptionist answered. Transcripts are useful for checking details, spotting questions you hadn't planned for and improving the answers your receptionist gives next time.
